July 7, 2004—The Peabody Essex Museum (PEM) of Salem, Massachusetts, uses the ARCHIBUS/FM infrastructure and facilities management solution to perform cost-effective preventive maintenance on its buildings and exhibits. By linking FM information with Johnson Controls’ Metasys Building Automation System, the museum has reportedly developed a process that keeps its over 2.4 million valuable artifacts in top condition, while maintaining a defensible record of costs associated with its overall operation.
The PEM, founded in 1799, uses ARCHIBUS/FM to standardize, manage, and track preventive maintenance throughout the museum and its 24 historical buildings. Although Johnson Controls has had temperature control equipment in the museum since the 1940s, the maintenance that its personnel performed on the equipment was not accurately tracked, making it difficult to justify expensive service contracts. The PEM also wanted a way to seamlessly translate preventive maintenance requirements to the FM staff.
With the help of ARCHIBUS/FM Business Partner Terminal Velocity FM, the museum integrated ARCHIBUS/FM and Johnson Controls’ Metasys system to create a reliable work order management system. To ensure that paperwork is accurately filled out, Johnson Controls’ work order reports were re-created in Crystal Report format. The maintenance staff must now update their work in ARCHIBUS/FM, print out the form, and submit it to Johnson Controls in order to get paid for their work.
“With ARCHIBUS/FM driving the preventive maintenance process, we can cost-effectively track repair time,” says Robert Monk, Facility Director at PEM. Daily work orders are rolled up into monthly reports so Monk and his staff can easily analyze maintenance tasks, set schedules, and prepare budgets. “At the end of the year, cost tracking is essential for the operation of the museum’s facilities,” he says. “As we continue to develop our implementation, our facilities management tools will become as critical as the boiler room at this facility.”
