A major introduction by Aperture Technologies, Inc., is called OurPlace, designed to provide facilities and IT managers with an automated way to receive, route, delegate and manage employee service, equipment, new hire, and move requests over their intranet. This Web-based work request and workflow management system is based on an e-commerce model and may be customized to fit an organization’s particular needs.
OurPlace helps to relieve the problems that facilities managers, IT managers and their customers face when making or managing requests. OurPlace provides employees with one central location for submitting requests, and more important, that place is on their corporate intranet, making it accessible to all. It gives employees the ability to locate a person, request a service or equipment, assign an office for a new employee or request an in-house move. This dramatically reduces the time and effort needed to make requests by employees.
OurPlace also helps the service manager by automating the workflow process. OurPlace is set up with workflow rules that service managers define in advance, so that each request can be routed automatically through the process. First, an employee makes a request over his intranet; the request is automatically forwarded to his manager for approval. Once approved it is then routed to the service manager who can organize, prioritize and route the request to the appropriate internal or external service provider for fulfillment.
Most important, everyone who needs to be notified of the request status is sent e-mails automatically to let each know where it is in the process. With OurPlace miscommunication is eliminated. Problems that facilities and IT managers face with receiving and managing employee requests are eliminated. The process is streamlined and departmental disruption minimized.
Harold Feinleib, President of Aperture says, “Since 1987, we’ve delivered visual CAFM and IT Management solutions to half of Fortune 500 companies and two-thirds of Fortune 100 companies. So we built OurPlace to work as either a stand alone solution or on top of our core products to leverage Aperture’s tight integration between graphics and data.” Feinleib continues, “This is very powerful. For example, when an employee requests a new office he can see available vacant space highlighted in color on a floor plan. By simply clicking a button on the request form, he can then choose the space by another click on it. Once this is done the form auto-populates with all information about the space.”
